Privacy Policy

We have chosen to minimise the information that we hold about you, to store it securely and to allow you to delete and modify it readily. Although, basic information must be retained in order to operate the site, we are not involved with buying, selling, mining, harvesting, gathering or collating any information about you. The data is stored on servers in the UK and all processing is carried out according to UK GDPR.

This privacy policy explains how Swainland.co.uk will use any personal information we collect about you when you use the Maths Quiz.

1. What information do we collect?

In order for you to use the website we need to collect the following information:

Personal information:

We will ask you to set up an account that identifies the school or organisation you work for so that you can manage the players at your setting. We will also require you to enter a valid email address, a name and other information necessary to group, organise and manage the players and set them tasks. You will also be asked to identify if some players use a screen reader which may infer ‘sensitive’ information about them. You should only add the users if you have the authority to use their personal data, including the sensitive data shared.

Website Usage and Tracking:

We do not use any third party tracking tools. To help manage our site security, your IP address is collected when you login or attempt to login, along with your user ID and the current time. Certain other tracking of specific parts of the website may also happen from time to time for the purposes of debugging and site improvement. A record is kept of your game playing, such as the questions you have been given, how long it takes you to answer them, how many times you got them right or wrong as well as information on the tasks you have set or taken part in.

Cookies:

We use a session cookie to enable our server to communicate with your browser and maintain the same session between pages. This is only kept for the duration of the session. If permission is granted, the only client cookie that we store on your browser is the “remember me” cookie on the login screen that stores your school, username and password.

There are a number of ways that we may use your personal data; primarily it is to ensure that we are providing you with an effective service. Ways in which we may use your information include:

3. Who do we share your information with?

Your data is stored in the UK with our website provider Freeola. They may carry out monitoring of our website usage in order to prevent cyberattacks but do not have access to the databases. A players score is shared on a class leader board that is visible by all other members of the class. Teachers within the school can also view information on the number of games played and how well players have done on each question.

4. Lawful bases for processing data:

In order to process your personal data/information, we will meet at least one of the following lawful bases, as set out by the GDPR (General Data Protection Regulation).

Consent:

We will ask you for your consent before using the “remember me” cookie. You can also withdraw your consent by unticking the box at any time.

Contract:

We will process your personal information, when it is necessary to do so for us to deliver your services and thus fulfil the contract; for example, in order to decide which questions to provide you with and motivate you with stars and awards based on your score.

Legitimate Interest:

When considering your privacy, our own legitimate interests will also be taken into account alongside yours. For example if we message you about changes to the site.

5. How do we protect your information and where do we store it?

Your data is stored in secure data centres in the UK and security and access to the site is strictly monitored.

Your account is password protected and access to the data is controlled by validating emails and allowing given current teachers the final say in approving new teachers at a school. We also use a Secure Socket Layer (SSL) connection across our site, ensuring that any exchange of information between your computer and our site is encrypted.

We will only share details or discuss the account with an individual once they have proved that they have access to the account.

6. Accessing the personal information that we hold about you:

You may make a 'Subject Access Request' to ask for copies of the personal information we hold for you by contacting maths@swainland.co.uk. We will respond to your data access request within 30 days. Please include in your request details of what personal data you want to access. We will need sufficient information in the request to identify any accounts associated with you and will require proof of your identity before supplying a copy of any data we hold for you. This facility is usually free, but we may charge a reasonable fee to cover administration costs for repeated or excessive subject access requests.

7. How long will we keep your personal information?

Your information will be kept for as long as it is required by law, until we no longer have a valid reason for it or up until you request its deletion.

8. Deleting data:

Providing that your data is no longer needed for the purpose for which it was originally processed, you can request that we erase the data that we hold on you.

If you wish to carry on using the maths quiz; we cannot erase this data whilst still fulfilling the service contract.

If you do request that we delete your personal data, we must keep a record of the request for erasure.

9. Changes to our Privacy Policy:

We may update our Privacy Policy at any time and changes will be published on this page. Please check this page regularly for updates.

Exceptions:

If the police or other law enforcement agencies request personal information, there may be circumstances where we, or our suppliers may be obliged to provide information.

Cookie Policy:

When you visit the website a session cookie will be used to maintain the connection between your browser and the server. A browser cookie will only be used if you explicitly opt in to having it stored on your computer. The only cookie that we plan to use is the “remember me” cookie that populates your school, username and password on the login screen. We do not use any third party cookies.
